Pre-filling fields

ℹ️ Note: The screenshots on this page still show the previous propform interface. All features and settings described here apply unchanged — the look was modernised with the new editor.

There are several options available for pre-filling a form with values:

The pre-filling of a form follows this logic:

> Default-Wert is overwritten by Wert aus onOffice-Datensatz is overwritten by URL-Parameter is overwritten by Erzwungenem Wert

## Default value

In the field settings, you can set a default value for a field. If the form is opened blank, this value will be pre-filled. Separate multiple values for multi-select fields with a ";".

If the form loads an onOffice record, its value normally wins – even if the field is empty there. For number fields, “Also use the default value if the loaded record is empty here” makes the default value appear anyway; a 0 in the record counts as empty.

In the example above for the ‘Property Type’ field, the value ‘house’ is pre-filled.

URL parameters

If the "Allow pre-filling with URL parameters" checkbox is ticked in the field settings (this is set by default), you can pre-fill the field using a URL parameter appended to the form link.

URL parameters are appended to the form link, separated from it by a "?". Additional URL parameters are appended using the "&" character. For example: https://propform.io/form/FoRmUlArSlUg ? estate[objektart] = haus & estate[objekttyp] = einfamilienhaus

> The URL parameter to be used for the field is indicated by the tick in the small tooltip.

URL parameters follow this logic: modul [feldname]

The following modules are available:

  • estate = Property
  • address = Address
  • agentsLog = Activity
  • task = Task
  • calendar = Appointment
  • project = Project

If you wish to pre-populate multiple values for a multi-select field using URL parameters, you must add each value individually as a URL parameter. Additionally, an extra opening and closing bracket is required.

An example using the address field “Contact Origin” (this is called “ArtData” in the onOffice administration): Formularlink ? address[ArtDaten][] = Eigentümer & address[ArtDaten][] = Investor

Loading onOffice records into the form using UUID

If you wish to edit an existing onOffice record using a form, you load it into the form via its UUID (universal unique identifier). UUIDs cannot be guessed — nobody can open a different record by manipulating the URL.

> In the onOffice administration, enable the "uuid" fields in the Addresses module and the "uuid" field in the Properties module.

Then, in the form settings, tick the box "Pre-fill with UUIDs":

You load the record into the form by specifying the UUID as a URL parameter:

https://propform.io/form/FoRmUlArSlUg ? address[ID] = f4059f75-8155-4869-b244-d036c3babfd1

The URL parameters are slightly case-sensitive, due to the naming convention in the onOffice administration:

  • Address: address[ID] (capital I, capital D)
  • Property: estate[Id] (capital I, lowercase d)

> If you send a form link via email, the UUID is accessible via the macro "_Uuidaddress" or "_Uuidestate".

Enforced values

In the field settings, you can define "Enforced values" for a field. If the form is opened with no data, this value is pre-filled; furthermore, this value is not overwritten by URL parameters or values from an onOffice record. The value is not checked on submission – if it must stay fixed, also enable “Lock field” or “Hide field”. With {empty} (or {leer}) as the forced value, the field is cleared in onOffice – for every field type except user fields (e.g. supervisor, these stay unchanged), also with automatic sending. A 0, by contrast, is a real value (e.g. newsletter = no). Separate multiple values for multi-select fields with a ";".
